How to run a recruitment office in Jalb Aydi, section by section.

Quick start

Creating an account puts you on the free plan with no expiry date. These are the steps that get the office ready for real work:

    Create the account

    Press “Start free” on the home page, enter the office name, email, WhatsApp number and a password, then sign in.

  2. 2

    Office details

    Settings → Business details: office name, phone, address, logo, timezone, currency and tax rate. These appear on printed contracts and invoices.

  3. 3

    Branches and users

    Add your branches, then the users and their roles: owner, admin, manager, agent, accountant, HR, staff. Each role sees only its own work.

  4. 4

    Payment methods and expense categories

    Settings → Payment methods: define the till, the bank and the wallets. Every amount in or out goes through one of them, so each balance stays correct.

    Contract and procedure templates

    Settings → Contract templates for the wording of each contract type, and Procedure templates to order the recruitment steps the way your country actually works.

Workers: file, housing, trials and documents

The worker file is the heart of the system. It moves through explicit statuses from candidate to the end of the contract, and no status can be skipped.

    Add a worker

    Workers → Add: name, nationality, date of birth, languages, skills (cleaning, cooking, laundry, childcare, elderly care…), experience, expected salary, and how she arrives: on the employer's sponsorship, or on a tourist visa through the office.

    Worker statuses

    Candidate → in office housing → reserved → on trial → contracted → under guarantee → placed, plus the return, absconded and termination paths. Every change is recorded with who made it and why.

    Office housing

    A worker arriving on a tourist visa enters office housing automatically. The housing screen shows who is there, the average stay and the visas about to expire. The office pays no salary during this period, but food and housing are a fixed monthly expense.

    Trials with an employer

    A worker on a tourist visa can go on a trial with an employer for a set period. The outcome is either accepted — one click turns it into a draft local contract — or rejected, and she returns to housing.

    Document centre

    Passport, visa, residence card, medical, contract and anything else, each with its number and issue and expiry dates. The screen shows what has expired and what expires within 30 days.

Contracts and procedures

Four contract types: overseas recruitment, local placement, monthly rental and replacement. Each has a lifecycle that cannot skip a step.

    Create the contract

    Pick the type, the worker and the employer, then set the fees, the instalments, the guarantee days and the replacement limit. The wording is built from your office template and filled in automatically.

  2. 2

    Signing

    Signing freezes the terms, issues the invoice and moves the worker to “contracted”. The Arabic contract PDF can be printed at any time.

  3. 3

    Activation and the procedure

    After the first payment the contract is activated and the procedure opens from your step templates: permit, visa, medical, ticket, arrival, handover… each with an owner and a due date.

    Tracking the steps

    A step is completed, blocked with a reason, or skipped. Overdue steps show in red on the procedures screen and the dashboard, and completing one can notify the employer if you enabled that message.

    Handover and the guarantee

    Handover starts the guarantee from that day and moves the worker to “under guarantee”. This is where the office's obligation to the employer begins.

    Instalments and invoices

    Each contract shows its instalment schedule with the state of every instalment, derived from the actual payments on the invoice — nothing is typed in by hand.

Guarantee, replacement and refunds

During the guarantee an employer may complain, the worker may be returned, or she may abscond. A guarantee case documents all of it, from the complaint to the money.

    Open the case

    Guarantee cases → New: pick the contract and the type (complaint, return, absconded, replacement request, refund request, medical unfitness). The system freezes whether the request is inside the guarantee and how many days were left, so the answer cannot drift later.

    The event timeline

    Every call, visit and note is recorded with its date and author. Logging “worker returned” moves her back to the office automatically.

    Replacement

    Choose the replacement worker and a linked replacement contract opens against the original. Leave the fee at zero when the replacement is free under the guarantee.

  4. 4

    Refunds and settlements

    A partial refund, a full refund or a settlement is booked as an expense and taken off the payment method you chose, so the books stay honest. A full refund closes the contract as refunded and returns the worker.

    Rejection

    If the request is outside the guarantee or unjustified, the case is rejected with a reason. A case that carries a decision or a settlement cannot be deleted.

Foreign agencies and requisitions

Where the workers come from, what they cost, and what you still owe each source agency.

    Add an agency

    Name, country, contact, WhatsApp, licence number, commission, payment terms and rating. The agency then carries a performance card: how many workers it supplied, how many arrived and how many were returned.

    Create a requisition

    Lines by nationality, skills, quantity, unit cost and expected salary. It starts as a draft, then you send it to the agency.

    Receive the workers

    When the names arrive, record them against the line: each name creates a candidate worker file carrying the agency, the requisition and the line's nationality, skills and cost. You cannot receive more than you ordered, and the requisition closes itself when complete.

    Pay the agency

    Every payment is recorded against a payment method and leaves its balance; what is still due stays visible on the requisition and in the agencies report.

    Comparing agencies

    Operational reports → Agencies shows each one's return rate, average days to arrival and outstanding balance. A high return rate is a source worth reviewing.

Hourly rental

A separate business from recruitment: office-sponsored workers working by the hour for different clients.

    Service catalogue

    Each service carries a client hour rate, a weekend rate, a minimum number of hours, transport, and the worker's own hour rate. The difference is the office margin and it is shown to you.

  2. 2

    The booking

    Date, time, hours, crew size and address. The price is computed automatically: hours × rate × crew + transport − discount + tax.

  3. 3

    Assigning workers

    The system refuses a worker who is not office-sponsored, not available for hourly rental, or already assigned to an overlapping booking, and flags the busy ones with the conflicting booking number.

    Actual hours and the invoice

    Record each worker's check-in and check-out, or enter the hours directly. The invoice is raised on the actual hours, not the booked ones.

    Recurring schedules

    For a weekly client, set the days, hours and preferred workers, and the system generates four weeks of bookings ahead without duplicating.

    Worker payroll

    Payroll is built from unpaid timesheets, and only for office-sponsored workers — a worker on a tourist visa is never included.

Employers, invoices and payments

The employer file gathers their details, contracts, invoices, payments and guarantee cases.

    Add an employer

    Name, phone, national ID, sponsor number, governorate and wilayat, family size and how they heard of the office. Or import a list from Excel.

  2. 2

    Invoices

    Raised automatically from contracts and bookings, or manually. Each shows what was paid and what is left.

    Payments

    Every payment goes into a named payment method's balance. Deleting one reverses that balance too.

    Receivables

    Operational reports → Receivables shows what each employer owes, aged: not yet due, 1–30, 31–60 and over 60 days.

Two separate sets: operational for running the office, financial for accounting and tax.

    Six tabs: workers (distribution, housing, trials), contracts (statuses, value, guarantees, overdue steps), hourly rental (hours, revenue, margin), guarantees (cases, resolutions, settlements), foreign agencies, and employer receivables.

    Financial reports

    Sales, the financial report, sales tax, the payments log and Excel export.

  3. 3

    The dashboard

    Today's numbers: who is in housing, who is available, trials, active contracts, today's bookings, overdue steps, open guarantee cases, requisitions in progress, and the visas and documents about to expire.

Settings and employer messages

What governs the system's behaviour and its tone with your clients.

    Business details and branches

    Office name, logo, currency, tax and timezone, and the branches if you have any.

  2. 2

    Users and roles

    Create the users and set each one's role. Permissions are enforced in the interface and on the server, so hiding a button is not the only guard.

  3. 3

    Employer messages

    Settings → Employer messages lists every message an employer can receive (welcome, invoice, payment, contract signed, step completed, handover, guarantee ending, booking confirmed, reminder, completed, invoiced, guarantee case opened and resolved). The Arabic wording ships ready — switch on only what you want, and anything left off is never sent. You can reword any message, restore the default, and send yourself a test first.

    Contract and procedure templates

    The wording of each contract type and the steps of each procedure type with their durations — adjust them to your country's process.

Subscription and plans

The plan decides what is open to your office and the usage limits.

    Your current plan

    Subscription status shows your plan, its renewal date and how much of each limit is left (workers, monthly contracts, users, branches).

    Upgrading

    An upgrade opens the features immediately: trials and documents from Starter, hourly rental and foreign agencies and requisitions from Pro.

    The free plan

    No expiry date, and enough to try workers, employers, contracts and invoices on a small scale.
